My Kubota The delivery play

Three minutes,
at handover.

A machine registered in My Kubota is a customer you can still reach next year. One that is not is a serial number you sold to somebody, once. Point of Sale or Delivery is the only moment you reliably have both the customer and the machine in front of you.

  1. Get their phone out. Not yours — theirs.
  2. Download My Kubota from the app store (search for "My Kubota") and create the account with the email they actually use.
  3. Add the machine. The serial number is on the machine you are both standing next to — just scan the QR plate.
  4. Show them one thing — the operator’s manual, or on a connected machine, where it is on the map.
  5. Done. The record is correct from day one, and it stays correct.
What to say

“Let me get you set up in My Kubota before you go — it puts your manual, your service history and your maintenance intervals in one place, and it means when you call us we can already see what you have.”

When they say they don’t want another app

“Fair enough — but this one is yours, not ours. It is the difference between us knowing your machine and us guessing.” Then set it up. Almost nobody removes it afterwards, and the record is what you actually needed.

Then work the list.

Every connected machine reports hours, location, fluid levels*, temperatures* and fault codes* every ten minutes — on every tier, permanently. High-severity faults come to you as a Tech Alert. Everything else is waiting in the Dealer Opportunity Dashboard. (* Varies by model)

One minute to subscribe, 20 minutes a week after
  1. Subscribe to Tech Alerts in your dealer system, and add everyone who should receive them.
  2. When one arrives it names the customer, the machine, the fault, the diagnosis and the likely causal parts. Order the part, then call.
  3. Close every Tech Alert out in K-Service. That part is not optional.
  4. Once a week, 20 minutes in the Dealer Opportunity Dashboard (access in K-Service Web / Cloud Service): upcoming intervals, low and medium severity faults, and machines inside 90 days of warranty expiry. Set a status on each.
  5. Work the list, contact the customer (text may work best), offer the service. If they decline the service, offer the parts. Update the list so you can stay on track.
What to say on the call A fault alert

“Morning — it’s [name] at [dealership]. Your [machine] flagged a [fault] this week and I’ve got the part here. Nothing has gone wrong yet, but it will if it keeps running. Want me to put you on the schedule before it does?”

Maintenance due

“Morning — it’s [name] at [dealership]. Your [machine] is due for service. We can schedule you in for next week if that works, or we can get those parts ready for you. Would you like to go ahead and get scheduled?”

Two things worth remembering

Lead with the fix, not with how you knew — opening with how you knew turns a service call into a privacy conversation. And on machines without telematics the Dashboard estimates hours from averages, so every machine you connect turns a guess into a fact.
